This Privacy Policy explains how QuoteBind AI ("we," "us," "our") collects, uses, and protects information when independent insurance agencies ("Agency," "you") use our platform, and when an Agency's own clients interact with automated communications the platform sends on the Agency's behalf.

1. Information we collect

• Account information: your agency's name, contact name, email, and phone number, collected during sign-up and onboarding.
• Client data you connect: where you link your existing client database or AMS to the platform, we process the records needed to run the workflows you've configured (for example, names, policy details, and contact information).
• Billing information: payments are handled by our merchant of record, Dodo Payments Inc., which collects and stores payment details directly. We do not receive or store your full card number.
• Usage data: logs of automated calls, messages, and workflow executions, kept to operate and troubleshoot the Service.

2. How we use information

We use the information above to operate the Service you've subscribed to (quoting, reminders, call handling, and related automation), to bill your subscription, to provide support, and to improve the platform.

3. Third-party providers

To deliver the Service, we rely on infrastructure and communications providers, including workflow automation (n8n hosting), voice AI (Vapi), messaging (Twilio), email delivery (Zoho), and payments (Dodo Payments). Each processes data only as needed to perform its function for us.

4. Data retention

We retain account and workflow data for as long as your subscription is active, and for a reasonable period afterward to comply with legal, tax, and dispute-resolution obligations.

You can request a copy of the data we hold about your agency, ask us to correct it, or request deletion, by contacting us at the address below — subject to records we're required to keep by law.

We use reasonable administrative and technical safeguards to protect the data described above. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

The Service is intended for business use by insurance agencies and is not directed at children.
